Extension Season Triage: What to Push, What to Prep Now

By late March, every firm is running the same informal triage: which returns absolutely have to go out by the deadline, and which can move to extension without creating a problem later. Making that call deliberately, instead of by whichever file is on top of the pile, changes how the rest of the season goes.

The cost of triaging by default

Without a deliberate approach, extension decisions tend to happen by accident — whatever return is easiest to finish first gets finished, and whatever's complicated or incomplete drifts toward extension by default, regardless of whether that's actually the right call for that client. A return that gets an accidental extension because it was inconvenient this week isn't the same as one that got a deliberate extension because it genuinely needed more time.

A better sorting question for each return

1. Does the client need the return filed for a non-tax reason (mortgage application, financial aid, immigration paperwork)? If so, it's a poor extension candidate regardless of complexity.
2. Is the return waiting on a document the client hasn't provided, or is it complete and just waiting on prep time? The first is a real reason to extend; the second usually isn't.
3. Would extending free up time that actually helps a more time-sensitive return this week? If not, extending doesn't solve anything — it just delays the same work.

Where overflow capacity changes the triage math

The whole triage exercise exists because desk capacity is fixed and deadline pressure isn't. Overflow prep changes that equation by adding capacity during exactly the weeks the triage question gets hardest — which means fewer returns need to be pushed to extension for reasons that have nothing to do with what's actually best for the client.

A return that would have been an accidental extension in a desk-capacity-only world can instead just get finished, reviewed, and filed on time — without pulling staff off the returns that are genuinely deadline-critical.
